AV Coordinator

(Full-Time / Exempt)

The Museum of Arts and Design (MAD) seeks an AV Coordinator who will handle all AV needs related to the museum's exhibitions, public programs, building signage, and internal events. 

This role will report to the Director of Exhibitions and Collections.  The Museum of Arts and Design has a mission to explore how craftsmanship, art, and design intersect in the visual arts today. Through its exhibitions, programming, and collection, MAD promotes a view of the world unobstructed by traditional definitions of fine art. Compensation and Schedule

This is a full-time, onsite, exempt position with compensation of $63,000 per annum.  Your anticipated schedule will be Monday through Friday 9:30 am–5:30 pm, occasional work on weekends and evenings as necessary.

Duties & Responsibilities 

Exhibitions/Installations and the Collection

  • Oversee all exhibition related technical and multimedia elements including: 
  • Planning for the installation and maintenance of multimedia projects with curators, registrars, exhibition designers, artists, etc. 
  • Vetting and preparing all media for display, including audio and/or video encoding and editing (consult with Registrars when media is considered an artwork). 
  • Preparing installation plans and generating simple 3D SketchUp models of those plans (including power and data cable runs) for all multimedia elements. 
  • Supervising seasonal AV technicians as needed. 
  • Creating an On/Off & Troubleshooting Procedures Guide for each exhibition and/or museum installation. 
  • Maintaining AV displays and fixing issues as they arise. 
  • Stay abreast with current best practices in TBM (Time Based Media) preservation, storage, and display, and consult with Registrar department on storage of artwork in MAD’s collection. 
  • Maintain exhibition AV equipment inventory and recycle outdated equipment. 

Public Programs and Staff Events

  • Provide technical support for public programs requiring audio, video, or lighting in MAD’s 143-seat cinema theater. 
  • Screen video files, Blu-rays, DCPs, 16mm, etc. for cinema theater. 
  • Provide technical support and setup equipment (cameras, microphones, etc.) for live-streamed, Zoom, or other virtual programs. 
  • Manage cinema theater equipment inventory and track use by outside vendors. 
  • In consultation with the Director of Exhibitions and Collections, oversee the repair and purchase of new equipment for all programming spaces. 

General Museum Support, etc…

  • Maintain and update digital signage distributed on BrightSigns. 
  • Shoot and edit content in the form of (but not limited to) photos, graphics, videos, and GIFs that may be used across digital platforms, including our social media channels, website, and other digital marketing experiences, while following creative direction and interpreting ideas from visual inspiration and written instruction
  • Works with the graphic designer and stakeholders across the museum to transform traditional content, such as exhibitions (still photography and hard copy publications) and in-person experiences (such as programs and public events) into engaging video for multiple virtual audiences and outlets
  • Shoots all necessary raw video
  • Utilize network distribution when necessary for media playback.  
  • Provide guidance and occasional technical support for rentals. 
  • Other duties as needed and required. 

Required Skills/Abilities 

  • Excellent understanding of video and audio codecs 
  • Excellent verbal and written communication skills 
  • Excellent organizational skills and attention to detail 
  • Excellent time management skills with a proven ability to meet deadlines 
  • Familiarity with the Adobe Creative Suite (Photoshop, InDesign, Illustrator, Premier) is strongly recommended 
  • Familiarity with BrightSign players and software 
  • Strong analytical and problem-solving skills 
  • Ability to prioritize tasks and to delegate them when appropriate 
  • Ability to function well in a high-paced and at times stressful environment 
  • Proficient with Microsoft Office Suite or related software 
  • Familiarity with SketchUp 
  • Must have some flexibility to accommodate a schedule that may vary during exhibition turnovers 
  • Must be able to lift up to 15 pounds at times 
  • Excellent interpersonal and customer service skills 
  • Excellent sales and customer service skills 

Education, Experience, Certifications, Licenses, Specific Skills 

  • High school diploma or equivalent 
  • 3–5 years of experience working with AV/theater production in a museum or public venue setting with the following technical familiarity: 
  • Audio: use of wired and wireless microphones, audio recorders, audio playback, mobile PA system setup and breakdown, and balance audio levels for live speakers 
  • Video: use of projection (both digital and analog); basic video editing and encoding processes; presentation support utilizing Keynote, PowerPoint, and/or Adobe PDF Reader; video record live events; and set up video live streams which include shared media 
  • Lighting: conventional lighting setup (stage washes, spotlighting, and DMX control) 
  • Basic IT networking experience with an understanding of IP addressing, and VNC for remote access 
  • Familiarity with general purpose power cables for consumer equipment and lamps. 
  • Art handling and installation skills are a plus
