Building Operations Manager


The Museum of Arts and Design (MAD) is seeking a Building Operations Manager to support our team. Standard hours are Sunday to Thursday 9:30am to 5:30pm This position reports directly to the Deputy Director, Operations works collaboratively with colleagues across the Museum.

  • Oversee installation, repairs, and services as they relate to the Building Management System (BMS), HVAC, Controls and automation. 
  • Working with the Deputy Director for Operations and the Director of Exhibitions, ensure adherence to environmental standards for Museum facilities and provide timely facilities reports. 
  • Ensure all HVAC, MEP, fire/life-safety and building control systems are fully functioning, compliant and properly maintained and staff is appropriately trained and certified. 
  • Assist in management of operations requests by other departments, especially including reviewing and prioritizing needs, scheduling and assigning work, ensuring satisfactory and timely completion of work, and liaising with staff. 
  • Coordinate schedule of maintenance and operations work with other departments to avoid conflicts, especially around exhibition installation. 
  • Assist in management of museum-wide storage of supplies, equipment, and materials, including assigning and organizing storage areas, and discarding and disposing of obsolete items. 
  • In conjunction with Department Head, Maintenance Manager and the Director of Exhibitions guide and direct gallery maintenance, including non-art work related cleaning, paint touch up, bulb replacement, and minor repairs. 
  • Assist in management of small-scale and routine construction projects. 
  • Collaboratively coordinate building activities with restaurant and ensure compliance with operating agreement. 
  • Maintain training and certification on building and operations equipment and systems as needed. 
  • Assist Maintenance manager and facilities team with snow removal and preparation as necessary.  
  • In conjunction with facilities department, respond to off-hour emergencies and perform other building operations and project management duties as needed and assigned. 

Event Support 

  • Function as Operations department point of contact during museum events or programs as needed or requested.    
  • Assist with event planning and logistics by participating in regular event and production meetings.   
  • Coordinate with multiple departments to help plan and organize operational event needs ensuring setup is complete by the predetermined time.  
  • Schedule and assist with event vendor needs including loading dock, electrical, potable water, etc.  
  • Creates and oversees maintenance production schedule to ensure needs for events and programs are met and planned proactively.  


  • Assist security staff in responding to, documenting, and reporting security and safety incidents, including those involving the public, staff, art work, or building in a timely manner. 
  • Assist in management of security staffing and operations, including participating in regular event and program logistics meetings, and helping the security team at events and programs. 
  • Cooperate with fire department, law enforcement, medical, and other public safety officers, including accompanying such officers on inspections, providing requested information, and serving as liaison alongside Maintenance Manager and Security Manager.  
  • Provide other security and safety management assistance as needed and assigned. 


  • Provide full range administrative support for department, including but not limited to assisting with scheduling services, reviewing and processing invoices, quarterly building audits, and maintaining files. 
  • Facilitate department administration in other ways as needed and assigned.

  • Bachelor’s Degree preferred, but experience is the most important qualification
  • Minimum of 3 years of responsible experience in building operations and administration; or an acceptable equivalent combination of education and experience. 
  • Experience with Building Management Systems or Energy Management highly preferred 
  • Demonstrated proficiency and accuracy using MS Office products, including Word, Excel, Outlook, and other software programs. 
  • Comfortable with the use of hand and power tools.  
  • Ability to read and comprehend instructions, correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization. 
  • Ability to converse technically and negotiate with, as well as direct and supervise, work of wide range of vendors, including engineers and technicians, regarding museum systems and operations. 
  • Ability to apply common sense understanding to carry out detailed written or oral instructions. Maintain clean and tidy conditions throughout events, including but not limited to maintaining and restocking restrooms and emptying garbage receptacles.  
  • Be able to Maintain Certificate of Fitness S-95, and other as assigned or as required by the FDNY 
  • Excellent communication skills required Professional, friendly demeanor and interest in building relationships with staff 
  • Some evening and weekend responsibilities involving scheduled work and emergency situations.

MAD offers a competitive salary in the range of $70,000 - $85,000 depending on experience, and excellent benefits and perks, including:
